2. What this policy covers
This policy explains what personal information we collect when you use this website or book a visit, how we use it, who we share it with, how long we keep it, and the rights you have. It also sets out the basic terms for using this website.
3. Information we collect
Depending on how you interact with us, we may collect:
- Contact details — your name, phone number, email address and postal address, so we can arrange and carry out a home visit.
- Booking and enquiry details — the service(s) you are interested in (eye test, hearing test, ear-wax removal, etc.), preferred times, and any notes you provide through our forms.
- Care-home details — where a care-home manager enquires, the home’s name, your role, and the number of residents.
- Eligibility and clinical information — information needed to check NHS eligibility and to deliver safe clinical care. Health information is “special category” data and is handled with extra care.
- Website usage data — basic technical information and cookies (see section 9).
4. How we use your information
- To respond to your enquiry and arrange a home visit.
- To provide eye care and hearing care, and to keep clinical records as required by our professional and regulatory obligations.
- To check NHS-funded eligibility where relevant.
- To contact you about your appointment, aftercare, and follow-ups.
- To meet legal, regulatory and safeguarding obligations.
5. Our lawful bases (UK GDPR)
We rely on different lawful bases depending on the activity, which may include: consent (e.g. optional marketing), contract (to provide a service you have requested), legal obligation, and legitimate interests (e.g. running our service and responding to enquiries). For health information we additionally rely on the conditions for processing special category data relating to the provision of health care.
6. Who we share it with
We do not sell your personal information. We may share it with:
- Our clinicians and care coordinators who deliver your care.
- The NHS and relevant health bodies, where required for NHS-funded services.
- Trusted service providers (for example, IT, booking and email tools) acting on our instructions.
- Authorities or regulators where we are legally required to do so.
7. How long we keep it
We keep clinical records for the periods required by professional and legal guidance, and other personal information only for as long as necessary for the purposes above. Specific retention periods to be confirmed.
8. Your rights
Subject to UK data protection law, you have the right to access, correct, delete or restrict the use of your personal information, to object to certain processing, and to data portability. You can also withdraw consent at any time where we rely on it. To exercise any of these rights, please contact us. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
9. Cookies
This website uses cookies to make the site work and to understand how it is used. You can control cookies through your browser settings. A full cookie list and consent banner to be confirmed before launch.
10. Security
We take appropriate technical and organisational measures to protect your information against loss, misuse and unauthorised access. No method of transmission over the internet is completely secure, but we work to protect your data and to notify you and the regulator of any breach where required.
